Etsy Shop Health Checklist: A Monthly Audit for Shops With Hundreds of Listings

A repeatable checklist for volume print sellers: listings with no video, unsorted listings, missing tags, auto-renew switched off, duplicate titles and stale photos, with what to fix first and how often to run it.

An Etsy shop audit is a repeatable check of every active listing for the problems that quietly cost views and sales: no video, no shop section, fewer than 13 tags, auto-renew switched off, duplicate titles and dated photos. For a shop with hundreds of listings, run a quick version after every batch you publish and a full pass once a month. Fix what blocks a listing from being found or bought first, then what makes it less likely to be clicked.

Why volume shops need a checklist at all

A shop with 30 listings can be checked by eye. A shop with 600 can't. Problems in large shops don't come from one bad decision; they come from small gaps repeated across batches. A batch of 40 posters goes up on a busy evening, ten never get a section, a few go live with nine tags, and nobody notices for months.

A checklist turns that into a routine. It's the same few questions every time, asked of every listing, in the same order.

The checklist

Each check below says what to look for, why it matters and how to fix it at scale.

1. Active listings with no video

Look for: active listings with no video in the listing.

Why it matters: a video gives a buyer scrolling through near-identical prints a reason to stop on yours. For a print, a slow pan across a framed mockup or a few room scenes is enough.

Fix: don't try to do all of them at once. Sort by views and add video to the top listings first, then work down. The Etsy video guide covers what a good print video looks like.

2. Listings in no shop section

Look for: listings that aren't in any shop section.

Why it matters: an unsorted listing still appears in search, but a buyer browsing your sections never sees it. In a big shop, that's often dozens of prints missing from the shelves buyers actually use.

Fix: filter the Listings manager for listings with no section and move them in batches. If your section list itself is a mess, sort that first using the shop sections guide.

3. Listings with fewer than 13 tags

Look for: any listing using fewer than 13 tag slots.

Why it matters: each tag is a phrase your listing can be matched to. An empty slot is a search you've opted out of.

Fix: fill the gaps with specific, multi-word phrases rather than padding. A batch of travel posters missing their last three tags usually needs the same kind of tags (room, gift occasion, print type), so you can fill them in groups. The wall art tag examples give full 13-tag sets to adapt.

4. Auto-renew switched off

Look for: active listings with auto-renew off.

Why it matters: listings expire after four months. With auto-renew off, a print that's still selling simply drops off sale when it expires, and nothing tells you it's gone unless you check.

Fix: switch auto-renew back on for anything you still want to sell. Leave it off only for prints you've deliberately retired. The listing renewals guide explains why auto-renew is the right default.

5. Duplicate and near-duplicate titles

Look for: listings whose titles are identical or start with the same words, such as 30 listings that all begin "Vintage Travel Poster Wall Art Print".

Why it matters: listings with the same opening compete for the same searches, and a grid full of matching titles looks like a template. See listing cannibalisation for how this plays out.

Fix: sort your titles alphabetically in a spreadsheet; duplicates cluster together. Rewrite the opening of each around what that print shows.

Worked example:

BeforeAfter
Vintage Travel Poster Wall Art Print, Retro DecorLake Como Vintage Travel Poster, Italian Lakes Art Print
Vintage Travel Poster Wall Art Print, Retro DecorAmalfi Coast Vintage Travel Poster, Positano Beach Print
Vintage Travel Poster Wall Art Print, Retro DecorCinque Terre Vintage Poster, Italian Riviera Wall Art

Same style, same product, but each listing now has a search it's the best answer to.

6. Stale photos

Look for: listings whose first photo is older, lower quality or a different style from your current work, and listings with only one or two photos.

Why it matters: the first photo is what buyers judge in a results grid. Shops that started with flat artwork images and later moved to room mockups often have hundreds of listings still showing the old style.

Fix: prioritise listings that get views but few favourites or sales, because the photo is the likeliest thing holding them back. Use the photo slots guide to decide what each image should show.

7. Listings that get no traction at all

Look for: listings with almost no views over the last few months.

Why it matters: these usually have a search problem (title and tags) rather than a photo problem, because buyers aren't seeing them in the first place.

Fix: rewrite the title and tags, then leave the listing alone for a few weeks before judging the change. If it still gets nothing, consider whether the design is worth keeping active.

What to fix first

When the audit throws up hundreds of items, order them by what each one costs you:

  1. Listings that can't sell: auto-renew off on prints you still want live, and listings that went inactive by mistake.
  2. Listings that can't be found: empty tag slots and duplicate titles.
  3. Listings that don't get clicked: stale first photos on listings that do get views.
  4. Listings that don't get browsed: unsorted listings and section order.
  5. Extras: video on the remaining listings, working down from the most viewed.

Within each group, start with the listings that already sell or get views. Fixing the tags on a print that sells every week pays back faster than fixing one that has never had a visitor.

How often to run it

  • After every batch: sections, tags and auto-renew. These are the mistakes most likely to come from a rushed upload, and they take minutes to check while the batch is fresh.
  • Monthly: the full list above, including duplicate titles, photos and zero-traction listings.
  • Before your busy season: a full pass plus your best sellers' photos and videos, so they're at their best when traffic peaks. For print shops that usually means early autumn, ahead of Christmas gifting.

Keep a simple log: the date, how many of each problem you found and how many you fixed. If the same problem keeps coming back, fix the step in your listing process that creates it rather than cleaning up after it every month.

Doing it without a spreadsheet every time

Etsy's Listings manager lets you search, filter and bulk edit, but it doesn't list most of these problems for you. The usual workaround is a monthly export into a spreadsheet with a column per check.

PSDmate's Listings page does the first four checks automatically as a "Things to fix" list (active listings with no video, listings in no section, listings under 13 tags and listings with auto-renew off), with bulk edit to fix them in groups. Its Titles page finds duplicate and near-duplicate titles. Either way, the checklist is what matters; the tool just shortens it.

The short version

Check every active listing for video, section, a full 13 tags, auto-renew, a unique title and a current first photo. Run the quick version after each batch and the full version monthly. Fix what stops listings selling or being found before what makes them look better, and start with the listings that already earn.

Frequently asked questions

How often should I audit my Etsy shop?

Run a short check after every batch of new listings and a full audit once a month. The batch check catches the problems you are most likely to introduce, such as missing sections or tags, while the monthly audit catches slower ones like fading listings and photos that have started to look dated.

What should I check first in an Etsy shop audit?

Start with anything that stops a listing being found or bought at all: listings that have expired or gone inactive by accident, auto-renew switched off on prints that still sell, and listings with empty tag slots. Cosmetic issues like section order or older photos come after those.

Does every Etsy listing need a video?

It is not required, but a short video gives buyers another reason to stop on your listing and costs little to make for a print. In a large shop, the practical goal is a video on every active listing that gets views, starting with your best sellers.

Why do duplicate titles matter on Etsy?

Listings with the same or nearly the same title compete for the same searches, so Etsy has to choose between them and often shows neither as well as one strong listing. They also look like a template to buyers. Rewriting the opening of each title around what that print shows fixes both problems.

Should I use all 13 tags on every Etsy listing?

Yes. Each tag is another phrase your listing can be matched to, and an empty slot is a search you have chosen not to appear in. Use multi-word phrases a buyer would actually type, and avoid repeating the same words across tags.
